Getting Help with Funding for School Trips

Ask a Question
Getting Help with Funding for School Trips
Putting your child through school is a necessity, and despite the UK claiming it has a 'free' education system in place, many parents find that the cost of education is soaring. Taking into account the cost of uniforms, books, travel expenses, food costs and the added contributions parents are asked to pay towards school trips, the cost of your child's school education can run into the thousands.

A report from Citizens Advice revealed that 50 per cent of parents pay more than £10 per school day trip that their child attends, and for those who go on residential trips, this cost can reach as much as £200.

One issue pointed out by parents when it comes to financing school trips is that they are not given enough notice to budget and save in order to cover the costs. The report also showed that those families on low incomes didn't know that they could actually be exempt from paying some, or all, of the cost of these trips.

The Real Deal

The rules surrounding the charges schools can apply for educational trips are hazy. Basically, schools are able to charge parents a fee for board and lodging for school residential trips, but they can't charge for activities that take place during school hours, although they can ask for voluntary contributions.

This often makes those parents on low incomes feel obliged to make a contribution that they realistically can't afford with many schools implying that the trip could be cancelled if there aren't substantial contributions. The reality of the situation is that those parents who are entitled to free school meals are exempt from these charges.

However, leading charities often point out that children from low income families are often isolated or bullied at school as a result of their parents not being able to afford new uniforms or to pay for school trips.

For parents on low incomes, the main cause of concern is that their child could suffer academically as a result of not being able to attend the trips that are linked to the curriculum. It is often the case that schools exclude those children who can't pay from the trip, despite the rules clearly stating that contributions should be voluntary.

Money, Money, Money

Parents whose children attend secondary schools face an average annual amount of £1,000 just to cover the 'added extras' of their child's education. And primary schools aren't much better, costing parents as much as £600 per year.

According to figures from national charity, Gingerbread, lone parent families are five times more likely to have an income of less than £200 per week making it very difficult for them to budget to cover the cost of school trips. This means that families are forced to borrow extra money to cover these extra costs, adding to their already difficult financial circumstances.

Your situation may be slightly different. ask a question below ↓ and our editorial team will reply with our advice.

Helping Hand

There is little help available to help cover the cost of school trips. However, some local authorities can help towards the cost of school uniforms. Some do offer grants for extra expenses, but these are usually reserved for those with 'exceptional circumstances'.

One form of funding that has been successful in helping parents on low incomes with the costs associated with their child's education in Horizon. This project is supported by Barclaycard and charities including Gingerbread, Parent Line Plus, Citizens Advice and The Family Welfare Association. It is through the latter that parents are able to access grants to help support parents with costs associated with education.

@Hussnia Ghalam Hi Hussnia, your first port of call should be the school itself, as most have a hardship fund for trips and will often waive or reduce costs for families on Universal Credit. For the basketball club, ask Coventry directly about bursaries, and have a look at Sported, the Jack Petchey Foundation or Buttle UK, who all help with sports fees for kids. Your local council may also run a holiday activities scheme worth checking. Worth ringing your local Citizens Advice too, they often know smaller grants in your area.

We are on universal credit and we are not able to pay my children school trip money also my son really like to join the coventry basket ball team that the cost 500 for one year I am not able to pay i need help because of the payment
GrantsExpert Editor 19/05/2026 at 9:18 am
@Lisa You're right that it feels unfair when you're just above the threshold but still on a tight budget. Speak to the school directly and ask about their hardship fund or pupil premium support, as many schools have discretionary pots for exactly this situation. Some will also let you pay in instalments over several months, which makes it more manageable. It's worth putting your case in writing to the head, as they often have more flexibility than the standard letter suggests.

I have twins due to go on a residential school trip costing £235 each. We have received a letter to state that those in receipt of free school meals only have to pay £20-how is that fair? For me to pay £470 for my children to go is 1/3 of my monthly income

Hello.
My daughter has 2 school trips for this year. Although technically one is for yr5 and other is yr 6! (June and October)
The price for both is £470… we are just over the threshold for fsm.
I can’t work due to health and get pip, my husband works part time after a brain tumour.
We are on Uc.
She’s being diagnosed with autism.
The trips would really benefit her. But I just can’t afford it, and the anxiety of her not being able to go is too much.

Hello,my autistic daughter has been offered a place to go Japan with school only 10 going, she would really benefit from this educational and socially for her anxiety.

Hello I have triplets and a single parent. My husband the children's dad died 18 months ago from bowel cancer. The triplets are due to go on a PGL in June. It's £275 per child. So £825 in total. I work part time 11.45 to 1.45 Mondays to Fridays in the school as a lunchtime helper. Then 2 to 7 on a Saturday at the local pub serving food in the restaurant (I work 15 hours a week) I also have health conditions, Pip turned me down too, so money is tight.

Does any one know any charities that will help?

I have been taking students on school trips for many years and it’s never been more difficult than it is now to raise the funds needed for young people and parents who are on low incomes. School trips are some of the most memorable, rewarding and educational experiences that a child can have and they should be available to all young people; not just those with good salaries. I am trying to think what to do about this and will keep you all posted
Jo 11/10/2022 at 10:31 am
If you are in receipt of certain benefits and or claim free school meals, the School are legally obligated to inform you that you do not have to pay board and lodgings for the trip.
Just search benefits and not paying board and lodgings and the .gov website will advise you.
Do NOT pay if you don’t have to or can’t afford to.

Hi, I can't see any answers to your above questions. Same situation for me. My daughters primary school charge 550 for their residential in the UK. They've been good enough to take 200 off being that I am caring for their terminally ill dad and can't afford it. In honesty I can't even afford this as barely pay basic bills with Universal and PIP etc is still pending approval and its been over a year waiting.. any ideas? No body said it was easy eh?

I have a year 12 child who's A'Level history class has decided on a 5 day trip to Washington DC for Easter 2023 with a proposed cost of £1600 (this may increase) with a £150 deposit due in 3 weeks. I am a single low income parent. My child works on a Saturday (has done since 16 saving for university) & has asked if she can go if she can pay £450 towards it. It baffles me given the current climate financially that a place for state education thinks parents can magically make money appear.
I too would like to know if there are any grants available.

Hi

I always have to say no to my son for school trips as being a single parent on a low income supplemented by Tax credits I simply can’t afford it. But his school have a trip to Madrid that is open firstly to pupils on their school football team and those who have taken PE as a gcse subject. All his friends are going and it’s the only trip he really has his heart set on. Having placed a deposit so he doesn’t lose his place in the trip, I contacted the school stating my situation. They have offered no help. I feel belittled having contacted them in the first place - trip letters always state to contact them if the cost would be financially difficult. It’s heart breaking to say no to everything simply because financially you can’t afford it. What do I do?

Hi my daughter has been offered a trip of a life through school and camp international where she has chance to go cambodia in 2021. My daughter is trying to raise 4.500 through fundraising. Our plan is to raise the money through table tops, sponsor swim, car boots sale, cake and coffee morning etc just some of the ideas we are going for. I'm wandering if she could have a small donation to help with a trip of a life time. Please we would be grateful with any help you can do. Tammy Hockaday

I am a single mother of 3 who range in age from 3-9. I have no help from their fathers and I am stuck in this country due to my now ex husband who has alcohol and substance dependency issue and does not see the kids. I am overwhelmed trying to think of how I can stretch my already tight budget to accommodate this with Christmas around the corner. I have no help and no family here :(

My Daughter came home with a letter of a fantastic trip to China. She so wanted to go and said both her friends were going and feeling heartbroken I did not want to tell her that we couldn't possibly afford it.
She was devastated and I just feel bad that now and opposition we found herself in I don't want my children to be held back or disadvantaged in any way. I I have three children and all will have trips in the future and I probably will have to say the same to them which is so sad and seems so unfair if there is any help out there I'll be very grateful to know about it thank you

Hi there my name is Kay and I am 16
I am currently studying at college doing a animal care level 3 course because of this I have luckily been given the opportunity to travel to the Galápagos Islands this trip would enable me understand the type of conversation the islands perform as this is a field I one day hope to go into. Unfortunately like all great things this trip comes with a heavy price and that price is £3500 sadly for someone like me who lives on benefits this is a trip that may turn more into a dream than a reality. I’m not asking for a miracle but any help would be helpful and I would forever be grateful
Thank you

Talk to the school, they may have funds reserved for those who can't afford to pay. There may be local trusts or organisations that can help. Try an Internet search on "educational trip funds together with the name of your town or county".

My daughter has come home with a school trip costing nearly £200. I am a carer for my husband and not entitled to benifits apart from carers allowance. We can't afford this trip. Is there were we can get help to pay for this
GrantsExpert Editor 25/07/2017 at 11:13 am
It's worth looking at local charities and organisations that can help out. If the trip is specifically related to a topic such as sport, arts etc, then try charities and funding organisations in that area. It's a bit time-consuming to have to do this every time a trip is organised but when school funding is suffering such harsh cut-backs as they are at present, you have to try pretty much anything. If it's within your school's remit, the school may be able to raise funds (maybe in association with a PTA etc) so that a "pot" is always available to help support educational trips. The Turn2Us grants search facility is sometimes useful and you could also try Family Action.

Hi,
First of all thank you for your good works. I am a Parent governor in a school, London. There has been an issue of financial shortage of the School, and the School is unable to help some parents for school trips. I have been receiving complains from parents who are not happy with the School and these parents need financial help. therefore i am making more research to help parents and the school by proposing to organisation and foundations to assist in any form.

Please can these parents get help and what is the procedure?
Thank you, hoping to hear from you soon.
GrantsExpert Editor 09/02/2017 at 12:30 pm
You may be entitled to help. Firstly, try the school - they can often help with this kind of funding. Secondly, the Turn 2 Us website has a search facility that may come up with something for you.
GrantsExpert Editor 08/02/2017 at 12:13 pm
We're not a charity unfortunately. This is a website with advice on how to apply for grants. Hopefully the advice in the above article will help signpost you in the right direction.

Hi there, I have a 9 year old daughter and am suffering financial hardship being on benefits due to being a carer for my disabled mother. I currently get free school meals and she has a educational residential trip later in the year costing £200. Can i get some financial assistance towards the cost of this?
Mj 06/01/2017 at 1:34 pm
I have twins who are due to start school in september, i also have a 9 year old and 12 year old. My hasband works full time and we dont get any help. My question is, when the twins start school will i get any help with school trips because i will have to pay double. Im not expecting buy one get one free but a little help would be nice. People think because my partner works we can have luxuries but sadly once we pay all the bills, dinner money and feed and dress 6 people we have nothing. I tried to get a job but we couldnt aford child care for the twins because again i was double and we werent entitled to the 2 year funding because on paper my hasband makes to much money which in reality as i said it goes on running a house of 6.
GrantsExpert Editor 18/11/2016 at 2:35 pm
Your school will keep this completely anonymous. Trust us, there will be plenty of other people who have received help from the school for trips like this. Speak to your Sports teacher or form tutor in private about this, the'y be able to tell you/ or talk to you mum about the options/funding they have available.
Gracie 17/11/2016 at 8:13 pm
I have a sports tour coming up with my school and the cost is £485 pounds, I want to go so badly but my mum can't afford it. I want some help but don't want to tell the school about it as i'm worried my friends will find out and i'll be embarrassed. What can I i?
GrantsExpert Editor 24/10/2016 at 2:04 pm
First speak with your school. Most schools have arrangements for those who suffering financial hardship. If the trip is optional and not educational, there will be a lower chance of receiving funding.

I have a school trip to Spain and the cost is quote high. Am I entitled to a discount or exemption? My family is already having financial problems with money.
GrantsExpert Editor 21/10/2016 at 10:18 am
Frist ask at the school. They will be able to tell you if they have any help available. Most schools have funding set aside for this kind of thing. They should also have an instalment system in place so you can pay a small amount each month until the trip.
col 20/10/2016 at 9:22 am
Im a single mother of 1 and work part time 18 hrs on min wage. I have a School trip coming up next yr which costs £250. Will i be entitled to a discount on that at all. Even though a year a way, will still be a struggle to find the amount. Thankyou x
Nick 28/09/2016 at 4:44 pm
Working parents also struggling to pay for kids to go to school because we have to pay the full wack for everything !my entire wage goes on bus fare and school dinners ,I struggle every day to find the bus fare and I know parents who tell the school kids are sick because they can't afford to send them (it costs me £50 a week bus fare and £45 a week on dinners for 3 kids to go to college and high school) we don't count for a full grant for my daughter at uni because any debts we have and are paying off don't count when it comes to trying to claim for school help .my main grievance has got to be the bus companies, school kids are the profit for the bus companies and I feel my main stress is the expense of the school bus fare .
GrantsExpert Editor 16/09/2016 at 12:22 pm
All students are expected to take out a student loan to cover their fees and accommodation. Many, also find part time jobs to supplement this. This means you should not have to fund any of his expenses. Children from low income families can sometimes get extra money on top of the loan. See here for more information

I am a single mother of 3, my eldest is due to move to university halls of residence next week, I am in extreme financial hardship, due to stoppages of benefit, my two youngest have started the new school term and this last year's uniform is still fitting and of a satisfactory condition they are however in desperate need for shoes, my other concern at the moment is how is my son going to be able to get the basics he needs for his accommodation, and even more so how can I cover his cost of moving from home to uni, would be grateful if any advice could be offered, thankyou.

Although not on a very low income, we still do not have enough extra money to pay for any of the trips organised by the secondary schools my children attend.
There are many trips on offer - New York for a thousand pounds, Germany five hundred pounds etc. At primary school level the year 6 residential trip was also totally unaffordable for us. Why is there no funding from local authorities for poor working families?

I have taken on special guardianship of two children 9 and 7 who were under the care of their local authority. I have just had some letter for a resident trip costing £200 for 9 yr old who said everyone is going. I have heard that I can get some kind of funding towards this because of their background. Is this correct send if so how
Many thanks M

@alwaysbusy. You should ask at your daughter's school first, they often have a budget for helping financially with school trips. You should also try the Turn 2 Us grants finder, which brings up details of lots of organisation, societies and charities that offer grants/funding for this kind of thing.
GrantsExpert Editor 07/05/2015 at 12:35 pm
@alwaysbusy. Try the school first of all. They will usually take steps to help anyone in financial need for things like school trips, uniform etc etc. There is also a range of grants available on the Turn2Us Grants page

@lulu. Your children's school may be able to help with school uniform costs - give the bursar of the school a call and explain your predicament. Some councils/education authorities can also help - here is the government web page with more details..

Could you please give me some advise on how to apply for assistance in getting funding towards getting school uniform for my twin daughters who will be going to secondary school in September
GrantsExpert Editor 31/10/2014 at 11:16 am
@locket. See the Helping Hand section in our article. Many schools have help to offer those on low incomes, especially if the trip is related to coursework so ask the school as well.

Thanks
GrantsExpert Editor 15/10/2014 at 10:56 am
@Amma. Ask directly at the school, they often have access to funds for trips for those who cannot afford them. Note that they are sometimes means tested, so you will be asked for details of your financial situation.

y3teach Editor 18/06/2014 at 11:17 am
@td - sometimes you can get help directly from the school if it's an educational trip that covers part of the curriculum. Usually the letter regarding the trip should give details about that, so you know who to contact.

Hi GK
I too have twins, age 13, and I have the same issues. Have you spoken to the school itself? This worked for one of my boys......
Twin 1's school (non fee-paying Grammar) has a trip to France (even though they're studying Spanish!!) later this year at a cost of £450. I contacted the school and explained that I am a single Mum and have just come off ESA and am now on JSA. They have offered to cover half of the cost and so Twin 1 is going on his trip.
Twin 2's school (local Academy school) announced a trip to Belgium at a cost of £455 and so based on Twin 1 going to France I had to say yes; assuming I'd be offered similar financial support. When I contacted the school they said that they don't have funding to support pupils wanting to join in overseas trips and that I would have to pay the full amount.
Fortunately for Twin 2 the trip was cancelled because there wasn't enough interest but it does mean that in his eyes he's still loosing out.
Good luck

having been made captain of Cricket,my Grandson is expected to lead the school cricket team on a trip to St Lucia next summer, however this will cost at least £1600, daughter is asingle parent on a low income and this amount is out of her reach. I am on a state pension as a widow and help when I can but not to this amount. Is there anywhere to apply for a helping grant, just some not necessarily the whole sum?
GK 28/11/2012 at 8:19 pm
I have twins aged 15 in year 10 at secondary school. They are studying Spanish GCSE and, as part of this, the school is organising a trip abroad to Spain for March 2013. The cost is £450 per child. For me to fund that for both of my boys means having to come up with nearly £1,000. I am a low income single parent on ESA and the cost of this is prohibitive for me. I have contacted the local authority which says they cannot help with any funding. I am feeling really upset at the thought of my children not being able to go because of my financial constraints. Is any one able to offer me any advice/help?
